Building compliance

Insurance, COI and Building Paperwork

The most common reason a cleaning contract starts late in New York is not the cleaning. It is a Certificate of Insurance that does not match what the managing agent's template demands. This page exists so you can check ours before that becomes your problem.

What We Carry

CoverageWhat it protects
Commercial general liability Third-party bodily injury and property damage arising from our work in your space.
Workers' compensation
NY statutory limits
Our employees if they are injured on your premises — so the exposure does not travel to you.
Employers' liability Sits alongside workers' compensation for claims outside the statutory scheme.
Disability benefits Required of New York employers. Its absence on a certificate is a signal worth noticing.
Janitorial bond Theft or loss by an employee on your premises. Turns a problem into a claim rather than an argument.
Umbrella
where a building requires it
Additional limits above the primary policies, common in larger portfolios.

Specific limits appear on the certificate itself. If your building requires limits above our standard, say so before the walkthrough — it affects the price, and it is better priced than discovered.

What We File With Your Managing Agent

  1. The certificate, with the owner entity and managing agent named as additional insured in the exact wording their template requires.
  2. The additional insured endorsement itself — not just a mention in the description of operations box, which confers nothing.
  3. A waiver of subrogation where required.
  4. Primary and non-contributory wording where required.
  5. Vendor registration and a named worker roster, so every cleaner is badged under their own name before night one.

What We Need From You

One thing, and it saves the most time: your building's vendor insurance requirements document, plus the exact legal entity names to be named. Nearly every rejected certificate we have seen comes down to a wrong or shortened entity name.

How Long Approval Takes

Two to five business days in most Class B and Class C buildings once a correct submission is in. Each rejection adds roughly two more, which is why we file as soon as we are selected rather than waiting for a start date to be agreed. The six reasons a COI gets bounced.

Insurance and COI: Frequently Asked Questions

How fast can you send a Certificate of Insurance?
Same business day in most cases, once we have the exact entity names your managing agent requires. The delay is almost never the certificate itself — it is getting the additional insured wording exactly as the building's template demands, which is why we ask for that document up front.
What coverage do you carry?
Commercial general liability, workers' compensation at New York statutory limits with employers' liability, disability benefits coverage, and a janitorial bond covering theft and loss. Limits are stated on the certificate; where a building requires higher limits or an umbrella, tell us before the walkthrough so it is priced correctly rather than discovered later.
Can you name our building owner and managing agent as additional insured?
Yes, by endorsement rather than by typing it into the description box. The description of operations field confers nothing; agents increasingly require the endorsement form itself, and that is what we file.
Do you provide a waiver of subrogation?
Yes, on request. It stops our insurer recovering from the building after paying a claim, and it is a standard endorsement rather than an extra coverage purchase.
Who handles the vendor registration paperwork?
We do. Registration portals, worker rosters, badge requests and the certificate all go to your managing agent from us. You should not be chasing your cleaning contractor's paperwork.
